About the Job
We’re looking for an experienced NDIS Operations Manager to help establish and manage a newly approved NDIS provider from the ground up. You’ll support the setup of operational systems and processes, participant onboarding, administration, and compliance requirements. This role goes beyond basic admin—you’ll be expected to provide guidance, take ownership, and help the business avoid common operational and compliance mistakes. The ideal candidate has strong hands-on NDIS experience, excellent organization skills, and the confidence to work independently with the business owner.
Key Responsibilities:
- Guide the business owner through the setup and day-to-day requirements of operating an NDIS provider.
- Assist with setting up admin systems, workflows, documentation, and compliance processes.
- Recommend and help implement suitable NDIS software CRM systems such as ShiftCare, Zanda Health, or similar.
- Set up participant records, service agreements, rostering, and compliance tracking systems.
- Manage participant intake and onboarding as enquiries begin coming through.
- Prepare service agreements and coordinate required onboarding documentation.
- Maintain accurate and up-to-date participant records.
- Communicate professionally with participants, families, Support Coordinators, and referral partners.
- Assist with onboarding support workers and maintaining staff records.
- Track required certificates, screenings, licences, training, and other compliance requirements.
- Support communication and coordination between the business owner, staff, and participants.
- Manage rosters, staff availability, service delivery tracking, follow-ups, and operational tasks.
- Monitor documentation and ensure administrative processes are completed accurately and on time.
- Help maintain organised systems and workflows as the business grows.
- Manage business calls using Aircall or a similar phone system and respond to enquiries professionally.
- Manage emails, messages, appointments, and calendar coordination.
- Follow up on marketing-generated leads and participant enquiries.
- Track referrals and coordinate with Support Coordinators and other referral partners when required.
Required Skills & Qualifications:
- Strong hands-on NDIS operations experience.
- Solid understanding of participant onboarding and service agreements.
- Experience with NDIS rostering and client management systems.
- Strong knowledge of NDIS administration, documentation, and compliance requirements.
- Excellent communication, organisation, and attention to detail.
- Experience handling phone calls, emails, enquiries, and stakeholder communication.
- Ability to work independently, take initiative, and solve operational issues.
- Confidence to guide a newly established NDIS provider and help build effective processes from the ground up.
