About the Job

We are seeking a highly organized and detail-oriented NDIS Administrative Virtual Assistant to provide administrative support to our team. The ideal candidate will be responsible for managing front-office communications, coordinating participant onboarding, handling email correspondence, and maintaining schedules to ensure smooth daily operations.

Key Responsibilities:


  • Serve as the first point of contact for participants, families, and stakeholders.
  • Answer and respond to phone calls, emails, and inquiries professionally and promptly.
  • Direct inquiries to the appropriate team members when required.
  • Maintain a positive and professional client experience.
  • Assist with the onboarding process for new NDIS participants.
  • Collect, verify, and organize required participant documentation.
  • Create and maintain participant records in accordance with NDIS compliance requirements.
  • Coordinate onboarding appointments and follow-up communications.
  • Monitor and manage shared inboxes.
  • Respond to routine inquiries and escalate complex matters as needed.
  • Organize emails into folders, prioritize urgent communications, and ensure timely responses.
  • Draft professional correspondence on behalf of management and support coordinators.
  • Schedule appointments, meetings, and participant consultations.
  • Coordinate calendars for team members and service providers.
  • Send appointment confirmations, reminders, and follow-up communications.
  • Manage scheduling conflicts and reschedule appointments when necessary.


Required Skills & Qualifications:


  • Previous experience in administrative, receptionist, or virtual assistant roles.
  • Experience working within the NDIS sector is highly desirable.
  • Strong verbal and written communication skills.
  • Excellent organizational and time-management abilities.
  • Proficiency in Microsoft Office Suite, Google Workspace, and online scheduling tools.
  • Ability to handle confidential information with professionalism and discretion.
  • Strong attention to detail and ability to work independently.
  • Familiarity with NDIS terminology, processes, and compliance requirements.
  • Experience with CRM systems and participant management software.
  • Ability to multitask and manage competing priorities in a fast-paced environment.
