About the Job
We are seeking a highly organized, customer-focused, and detail-oriented NDIS Administrator to support the day-to-day operations of our growing team. This role is similar to a general NDIS administration position and will involve a variety of responsibilities across client support, staff coordination, finance administration, data entry, HR administration, rostering, and general office support. You will be a key point of contact for clients and Support Workers, helping ensure that bookings, rosters, documentation, invoices, and administrative processes are handled accurately and efficiently. The ideal candidate is proactive, reliable, confident communicating with people, and comfortable managing multiple priorities independently.
Key Responsibilities:
- Answer client inquiries via phone and email in a professional and timely manner.
- Follow up with clients regarding appointments, documentation, bookings, and service-related matters.
- Assist with new client intake, including collecting, processing, and maintaining required documentation.
- Maintain accurate and up-to-date client records and internal systems.
- Coordinate and relay tasks, updates, and information to Support Workers via phone and Microsoft Teams.
- Prepare and maintain staff rosters.
- Perform simple rostering tasks and coordinate changes to staff schedules.
- Assist with staff-related administrative tasks and follow-ups.
- Prepare, issue, and follow up on client invoices to support timely payments.
- Assist with basic finance administration and data entry.
- Assist with processing forms and finance-related information as required.
- Coordinate with relevant team members regarding invoice queries, outstanding payments, and other finance matters.
- Assist with HR administrative tasks, including staff documentation and records.
- Support onboarding and other staff administration processes as required.
- Provide general administrative support to the team across various operational areas.
- Assist with other administrative tasks and projects as required.
Required Skills & Qualifications:
- Experience working within the NDIS industry is an advantage.
- Proficiency in Microsoft Office, ShiftCare, and Xero.
- Excellent verbal and written English communication skills.
- Strong organizational and time management skills.
- High attention to detail and accuracy.
- Ability to multitask and manage competing priorities.
- Ability to work independently with minimal supervision.
- Strong problem-solving and follow-up skills.
- Professional, friendly, and customer-focused approach.
- Ability to work effectively with clients, Support Workers, and internal team members.
- Willingness to learn and take on a variety of administrative responsibilities.
