About the Job

We are seeking a highly organized, detail-oriented, and proactive Admin Assistant to support a growing Australian allied health practice. This role is ideal for someone with hands-on NDIS administration experience who enjoys managing client records, preparing documentation, and improving administrative workflows. The successful candidate will play a key role in client intake, data management, report preparation, and supporting the optimization of Zanda Health.

Key Responsibilities:


  • Review and process new referrals submitted through Snapforms.
  • Enter and maintain accurate client information in Zanda Health.
  • Ensure participant records are complete, organized, and up to date.
  • Maintain confidentiality and accuracy of all participant information.
  • Manage and maintain client records within Zanda Health.
  • Assist in optimizing workflows and administrative processes.
  • Create and update forms within the platform.
  • Support basic workflow automation and system improvements.
  • Identify opportunities to improve efficiency and streamline administrative tasks.
  • Review previous participant reports to gather relevant background information.
  • Extract key details and populate report templates with accurate information.
  • Prepare reports for clinicians by completing the administrative sections, allowing the clinical team to focus on assessment findings.
  • Ensure all reports are professionally formatted and consistent.
  • Complete weekly administrative tasks as assigned.
  • Provide flexible ad hoc administrative support across the week.
  • Assist with additional administrative or phone support as business needs evolve.


Required Skills & Qualifications:


  • Previous experience in an NDIS Administrative role.
  • Excellent data entry skills with a high level of accuracy and attention to detail.
  • Experience using client management or practice management software.
  • Strong document formatting and report preparation skills.
  • Ability to review reports and accurately extract relevant information.
  • Excellent organizational and time management skills.
  • Strong written and verbal English communication skills.
  • Ability to work independently with minimal supervision while meeting deadlines.
  • Previous experience using Zanda Health.
  • Familiarity with Snapforms.
  • Experience improving workflows or implementing basic system automations.
  • Allied health or disability services administration experience.
