About the Job

We are seeking a highly organized and proactive Executive Assistant with strong (BD) support experience to join our team. This role will primarily support BD activities across North America (NA) and the Middle East & North Africa (MENA) regions, ensuring smooth coordination, client engagement, and scheduling efficiency. The ideal candidate has experience working with international companies particularly in the US and thrives in a fast-paced, cross-regional environment.

Key Responsibilities:


  • Assist BD teams with day-to-day administrative and coordination tasks across NA 50% and MENA 50%.
  • Initiate and maintain communication with prospective and existing clients.
  • Send follow-ups, reminders, and outreach messages to support pipeline progression.
  • Coordinate and schedule meetings, calls, and presentations across multiple time zones.
  • Prepare meeting agendas, briefing notes, and track action items.
  • Maintain and update CRM systems and BD trackers.
  • Support proposal preparation and documentation as needed.
  • Manage calendars and scheduling for BD leaders.
  • Coordinate internal and external meetings, including logistics and documentation.
  • Handle email correspondence and prioritize communications.
  • Assist in preparing reports, presentations, and business materials.
  • Ensure timely follow-ups on key deliverables and commitments.
  • Must be available to work 6:00 AM to 1:00 PM Eastern Time (US) to align with North America operations.
  • Flexibility to support MENA region time zones as needed.


Required Skills & Qualifications:


  • Proven experience as an Executive Assistant or BD Assistant.
  • Prior experience supporting BD.
  • Experience working with international companies, especially US based organizations.
  • Strong communication skills written and verbal in English.
  • Excellent organizational and time management abilities.
  • Ability to manage multiple priorities and stakeholders across regions.
  • Proficiency in productivity tools like Google Workspace, Microsoft Office, HubSpot or Salesforce.
  • Experience in remote or distributed team environments.
  • Proactive and detail-oriented.
  • Strong interpersonal and client-facing communication skills.
  • High level of professionalism and discretion.
  • Ability to work independently and take initiative.
  • Adaptability in a fast-paced, cross-cultural environment.
